Privacy notice
Validation scope
The current validation build is intended for U.S.-based staffing operations and U.S. client/workforce billing data. Broader geographic use requires renewed legal/privacy review.
Reconciliation files
CSV files selected in the scanner are designed to be parsed and reconciled in browser memory rather than transmitted to the operator. Refreshing or closing the page clears the in-memory scan state. Do not include or map information unnecessary for billing reconciliation.
Information you should not provide
- Social Security or tax identification numbers
- bank or direct-deposit information
- medical or health information
- dates of birth or home addresses
- passwords, API keys, or system credentials
Website and contact information
The hosting provider may process ordinary technical request information needed to serve and protect the site, such as IP address, browser/user-agent information, timestamps, and requested pages. If you submit the free-scan contact form, the name, work email, agency name, and systems-used information you provide are transmitted separately from the scanner files so the operator can follow up about validation. The staffing and billing files selected on the scanner page are not included in that contact-form submission.
Founding Pilot payments
If you choose to subscribe, checkout opens separately on Stripe. Stripe receives the checkout and payment information you enter there. BillGap does not append scan files, worker identifiers, source rows, discrepancy amounts or evidence to the payment link. The separate welcome page sends only the Stripe checkout-session identifier to a read-only BillGap payment-status service, which checks Stripe and returns a confirmation state. Payment information follows Stripe's service path; it is separate from local reconciliation. Ordinary hosting request metadata may still be processed. No scan data is stored by the payment-status service.
The scanner's conversion diagnostics contain fixed event names only and remain in browser memory. They are not transmitted as analytics. Closing or refreshing the scanner clears them. Subscription records are maintained separately in Stripe.
Your browser environment
Local processing reduces transmission by this application, but it cannot protect against a compromised device, browser extension, enterprise monitoring software, or other software outside the scanner's control. Use a trusted, appropriately managed device and browser for business records.
Analytics and advertising
The V0 scanner is designed without advertising pixels, session replay, remote scripts/fonts, or third-party analytics. The production security policy also blocks programmatic outbound connections from the scanner page. This notice and legal review must be updated before adding services that change that behavior.
Use and retention
Raw V0 reconciliation files are not intentionally retained by the operator because the application is designed not to receive them. Business contact information and ordinary hosting/security records may be retained only as reasonably necessary for their purposes and applicable requirements.
Authorization confirmation
The scanner's authorization/comparability checkboxes are currently processed locally in the browser and are not intentionally transmitted or retained by the operator.
Sale and model training
The V0 design does not sell raw staffing scan files or use those files to train AI models because the scanner is designed not to receive the raw file contents.
Service providers
Netlify hosts this site and receives contact-form submissions. Google email services handle contact correspondence and lead notifications. Ordinary hosting metadata and voluntary contact details follow those separate service paths; selected scan-file contents do not.
Cookies and storage
The application sets no tracking cookies and does not persist raw scan data. The hosting provider may process technical information needed to serve and protect the site. No third-party advertising or analytics is installed in the scanner.
Privacy requests and retention
Contact tyler@trybillgap.com to request access, correction or deletion of the contact information you supplied, or to raise an applicable privacy-right request. Do not include raw staffing records. Contact submissions remain in Netlify Forms until deleted by the operator. Contact BillGap with questions about the information associated with your submission.
